Job Description

THIS IS A FEDERALLY FUNDED GRANT POSITION, CURRENTLY FUNDED THROUGH AUGUST 30, 2025. POSITION CONTINGENT ON RENEWAL FUNDING FOR A 5-YEAR CYCLE GRANT FROM SEPTEMBER 1, 2025 THROUGH AUGUST 30, 2025.

POSITION SUMMARY
 The Office of TRIO Programs is dedicated to increasing college access, college retention, college completion and transfer of eligible CCA students. The TRIO programs focus on students who are underrepresented in higher education, financially under-resourced, first-generation college students, students with disabilities, nontraditional or otherwise educationally disadvantaged students. We facilitate student transitions, build community and guide students through the completion of their two-year degree in preparation for a successful transition to a four-year institution or entry to the workforce.
The TRIO Student Support Services (SSS) Traditional program began in 2010 while the TRIO Student Support Services English as a Second Language (SSS-ESL) program began in 2015. The TRIO SSS programs are designed to help students navigate college policies and systems while also working towards addressing systemic and environmental barriers that prevent first-generation, low-income students from obtaining a post-secondary credential. The TRIO SSS programs provide group advising, one-on-one advising, peer mentoring, tutoring, four-year college visits, cultural events, and specific academic success workshops focused on career, transfer planning, financial literacy, and more.
The Project Coordinator position is an essential position to the work and the mission of the TRIO SSS programs and will work exclusively on behalf of the TRIO Student Support Services English as a Second Language program. This position will have a key role in the implementation of services for eligible students and will help to mold the program to encourage enhanced services, strong utilization of data and assessment, and development of identity across the institution. Additionally, this position is key to ensuring the continuance of our inclusive excellence culture and academic success for TRIO participants. The TRIO ESL Project Coordinator position will also provide general leadership to the Office of TRIO Programs as well as training and support to all staff, where necessary. Flexibility in the areas of communication styles, outreach strategies, advising methods, and office/workplace schedules is necessary in this role.


OVERVIEW OF CCA

DUTIES & RESPONSIBILITIES
 Supervision: 

  •  Provide program supervision to academic coaches, administrative assistant, and graduate assistant or part time staff in the absence of the Director.
  •  Supervise part time professional tutors and peer tutors including hiring, training, scheduling, conflict management, verifying time and effort towards grant work, timesheet entry and approvals, and evaluation.
  • Supervise work-study students and student hourly employees including hiring, training, daily supervision, scheduling, conflict management, timesheet entry and approvals, and evaluation.
  • Provide general oversight of the TRIO tutoring model including assisting with the implementation and administration of supplemental tutoring and workshop services online such as Student Lingo and Tutor Me.
  • Assist with staff development and training
Student Case Management and Advising:
  • Advise a caseload of up to 40 participants aiding with academic advising, financial aid, financial literacy, 4-year university transfer, career exploration and preparation, college navigation, and referrals to appropriate services. 
  • Provide true case management style support to case load to include development of individual academic and service plans, monitoring of student success and academic alerts, high level outreach, and providing care contacts regularly.
  • Maintain strong documentation of contacts with students and services completed.
Program Development, Support, and Administration:
  • Present in college New Student Orientations and facilitate breakout sessions specific to SSS eligibility and services.
  • Present in core subject courses to share information about SSS with intent to recruit new participants. 
  • Facilitate conversations and presentations to students, campus student organizations, faculty, staff, and leadership on project goals, services and eligibility requirements.
  • Assist and lead in general recruitment efforts, selection of new participants from application submission to screening for eligibility, and admission decisions. 
  • Facilitate academic support workshops, transfer preview days, and more to include development of curriculum, learning outcomes, lesson plans, and assessment tools. 
  • Assist with budget allocation, budget adjustments, reconciliation, and tracking as it related to events, staffing needs, travel, and allocation of resources.
  • Assist with delivery of annual Family Connections Conference and participant orientations. 
  • Complete outreach to students to encourage engagement in project activities, services, and supports.
  • Monitor activities to ensure compliance with grant requirements and federal legislation and regulations.
  • Act as a liaison representative at department meetings and college events.
Program Assessment and Evaluation:
  • Conducting data collection and formative evaluation for program improvement or to determine programmatic services or needs. Collection of data through feedback surveys, assessments, and student spontaneous sharing. 
  • Interpret and communicate policy to stakeholders including participants, faculty, and staff as well as parents of students and CCA guests or external stakeholders.
  • Prepare reports on student outcomes and progress as necessary. 
  • Ensure proper storage and audit of student files and forms in compliance with FERPA laws and TRIO regulations.
  • Maintain quality electronic records in database system and assist with auditing records in database system.
  • When necessary, assist the Director with submission of the Annual Performance Report (APR). 
  • Other duties as assigned.

REQUIRED QUALIFICATIONS: 

  • Bachelor’s degree in education, social work, or related field from an accredited college or university.
  • Minimum of one (1) year of experience in the areas of staff supervision, program development and evaluation, reporting, and compliance with federal regulations. 
  • Minimum of one (1) year experience with TRIO programs, academic support programs, or similar programs for disadvantaged college students.
  • Professional or personal experiences in overcoming barriers similar to those confronting Project Participants.
  • Demonstrated cultural competence and sensitivity to work effectively with a diverse student population, understanding and addressing the unique needs of first-generation, low-income, and students with disabilities.
  • Formal training or work experience in at least one of the following areas:
    • Programming that promotes annual persistence of students from one academic year to the next 
    • Promoting college graduation and transfer rates for SSS-Eligible students.
    • Effective student coaching, specifically in the areas of guiding SSS-Eligible students with goal setting, time management, self-advocacy, and study skills. 
    • Ability to administer and manage educational opportunity-related programs.
  •  Knowledge of academic advising services, development of individualized service plans, college, career, financial aid, and economic literacy services, and programming for SSS-Eligible students.
  • Knowledge of principles and practices of administrative organization and management.
  • Demonstrated success in leading and managing teams, including hiring, training, supervising, and evaluating staff.
  • Ability to effectively maintain a caseload of students and provide services and activities as indicated on their service plans.

  • PREFERRED QUALIFICATIONS:

    • Master’s degree preferred in education, social work, or related field from an accredited college or university.
    • Direct experience with SSS ESL programming and managing federal grants and regulations related to TRIO programs.
    • Knowledge of inclusive excellence and ability to differentiate between equality and equity-based practices. 
    • Knowledge of the role of support services in building lifelong skills and responsibility in students.
    • Proven effective and innovative techniques in working with all types of students. 
    • Experience teaching in a classroom setting or facilitating groups. 
    • Previous experience tutoring, overseeing a tutoring program, or the ability to tutor in a core subject area such as English, math, or science.

      • The mission and purpose of a community college. 
      • Understanding and overcoming the barriers faced by non-traditional and first-generation college students.
      • Understanding of the transfer process from a community college to a four-year institution

    SUPPLEMENTAL INFORMATION

    Salary Range: Anticipated starting salary range: $61,196.00 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan, including generous leave, holiday, and education benefits. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
