Position Description
Under supervision, is responsible for overseeing the day-to-day operations of the Financial Aid Office at the main campus and off-site centers. This includes the coordination and oversight of the workflow for short-term workers. This position has a high level of independent decision-making and judgment.
Responsibilities
Assist in the oversight of the day-to-day operations of the Financial Aid Office. This includes the coordination of operations and workflow for the office's programming and events.
Assist the Director in planning, scheduling, developing and implementing new technology, departmental operations and procedures; implement and maintain policies and regulations in accordance with Federal and state regulations, college policies, and procedures as required and in compliance.
Provide information and assistance to district employees, students, and others where judgment, knowledge, and interpretation of policies, procedures, and regulations related to state and federal financial aid are required and in accordance with Title IV regulations.
Select, oversee, and train hourly personnel assigned to the Financial Aid Office.
Audit and reconciles funds; audit and review programs throughout the academic year.
Responsible for the counter, telephone and both in person and online schedules to ensure effective coverage; implement, supervise, and maintain a complex financial aid integrated system module. Confer with information services personnel to streamline financial aid procedures and develop and improve computer applications.
Responsible for updating the Financial Aid website.
Assist with the preparation and distribution of a wide variety of statistical information and reports.
Coordinate and lead workshops, meetings, and classes as appropriate to remain current with emerging financial aid information.
Lead and coordinate Financial Aid internal and external outreach efforts.
Partner with the Director in planning the activities of the programs; represent or provide leadership in the absence of the Director; assist in representing the Financial Aid programs campus-wide and District-wide.
Develop systems to effectively communicate information systems concept to operational end users.
Assist in the development and implementation of projects and events.
Initiate and prepare correspondence related to the Financial Aid Office.
Provide technical expertise regarding assigned functions; formulate and develop policies and procedures.
Perform related duties as assigned.
Qualifications
MINIMUM QUALIFICATIONS
Demonstrated evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds in a community college environment.
Associate of Arts degree from an accredited institution preferably in Business Administration, Information Systems, or Computer Science.
At least two (2) years of increasingly responsible experience in financial aid preferably in a community college setting.
Knowledge of federal and state regulations governing eligibility for student aid programs.
Demonstrated knowledge of basic principles and methods of information systems and operations.
Experience in training techniques.
Demonstrated ability to communicate effectively both verbally and in writing.
Knowledge of:
Microsoft word (Word, Excel, Access, Microsoft Desktop Publisher, Power Point)
Document Imaging system (Electronic filing system)
Integrated college computer systems
Procedures and operations of financial aid.
Modern office practices, procedures, and equipment.
Principles of training and providing work direction.
District organization, operations, policies, and objectives.
Written communication skills (demonstrated knowledge).
Interpersonal skills using tact, patience, and courtesy.
Ability to:
Assist in the planning, organization, and administration of the processes and operations of the Financial Aid Office.
Provide technical expertise regarding assigned functions.
Understand and follow oral and written directions.
Oversee the performance and training of hourly personnel.
Direct the maintenance of a variety of reports and files related to assigned activities.
Interact with diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college students.
Work under diverse situations.
Meet schedules and deadlines.
Maintain confidentiality
Analyze situations accurately and adopt an effective course of action.
Establish and maintain cooperative and effective working relationships with others.
Train all Financial Aid Office personnel with new office processes.
Work independently with little direction.
Maintain records and prepare reports.

SPECIAL CONDITIONS
Working hours: Monday - Friday, 7:30am - 4:30pm. One night shift per week of 10:00am - 7:00pm will be required. Must be willing to work evening hours, weekends, and alternate schedules as needed.
