Job Description

Job Title- PT SECRETARY-ADMISSIONS & OUTREACH (Pool)

Position Status- Part Time

Classification Title- Part-Time Clerk-Level IV-Up to 19 hpw

Work Location- Main Campus-3600 N. Garfield, Midland, TX

Job Summary- Provide administrative support for a department consisting of 10 full-time and 3 part-time staff members. Duties include ordering office supplies, submitting purchasing requisitions, gathering and processing timesheets, clerical and receptionist duties.

Required Qualifications

  • High school diploma or equivalent
  • Computer literacy to include experience working with Microsoft Office software
  • Knowledge of general office equipment including copier, fax machine, and multi-line telephone
  • Excellent communication and interpersonal skills, as well as strong organizational skills
  • Critical thinking skills and detail-oriented

Preferred Qualifications

  • Associate degree in a related field
  • Prior clerical experience
  • Experience working in higher education
  • Experience with departmental budgets
  • Bilingual in English and Spanish
  • Experience with Jenzabar student information system software

Essential Functions

  • Maintain personnel documents, review and prepare payroll time sheets and transmittals
  • Maintain inventory of office equipment and computer inventory records
  • Prepare help desk tickets for the department
  • Maintains and monitors budget spreadsheet
  • Orders departmental office supplies
  • Responsible for all travel arrangements (i.e., hotel, travel reservations, etc)
  • Responsible for collection of traveler’s receipts to include proper reconciliation with purchasing
  • Prepare purchasing requisitions for the department
  • Maintain departmental calendar
  • Take team huddle minutes and distribute them accordingly
  • Serve as backup to cover the Testing Center when necessary
  • Other duties as assigned

Physical Demands

  • Must be able to remain in a stationary position 50% of the time
  • The person in this position needs to occasionally move from office to other locations on campus
  • Repetitive use of a keyboard at a workstation
  • Use of manual dexterity
  • The person in this position frequently communicates with others; must be able to exchange accurate information
  • Frequently moves equipment or paperwork weighing up to 20 pounds
  • Work mostly performed indoors, some outdoor Midland College or community events may be required and possible weekend attendance
  • Must be able to work extended hours, including weekends, during heavy registration periods and Midland College community events

Security Sensitivity- All Midland College positions are security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. An employment offer is contingent on completion of a satisfactory criminal background investigation.

Min Salary- $12.00 per hour

Max Salary- $12.00 per hour
